We use your information for:

  • Organising training, matches, festivals, and events.

  • Safeguarding and player welfare.

  • Communication with members, parents/guardians, and volunteers.

  • Registering players with the RFU.

  • Meeting legal and regulatory requirements.

  • Data is stored securely in Spond and the RFU Game Management System (GMS).

  • Access is limited to authorised club officials, coaches, and safeguarding officers.

  • We take reasonable measures to protect your information from unauthorised access or misuse.

4. Sharing your data

We will never sell your personal data. We may share information only with:

  • The RFU (for player registration and insurance).

  • Coaches and team managers (for team organisation and emergency contact).

  • Safeguarding or medical professionals, if required in the interests of player welfare.

We retain personal data for as long as you or your child remain a member of the club, and for a limited period afterwards where legally required (e.g. safeguarding records).
